Personal Assistant & Diary Coordinator
Location: London (minimum 2 days per week in-office, with occasional travel)
Salary: c. £85,000 DOE
About the Role
One of our private clients is seeking an exceptionally organised and proactive Personal Assistant & Diary Coordinator to join a prestigious Private Family Office in London. This role is central to ensuring the smooth planning and coordination of the Principal's personal and professional life. The position demands outstanding attention to detail, discretion, and the ability to work confidently with internal teams, external stakeholders, and trusted advisers.
Key Responsibilities
Personal Assistant Support
- Coordinate and support meetings: schedule, prepare agendas, track actions, and monitor deadlines.
- Assist with ongoing projects, producing progress reports for senior review.
- Manage inboxes, prioritise communications and draft correspondence with sensitivity and confidentiality.
- Oversee filing systems, briefing notes and information flow to ensure efficient and secure document management.
- Act as a key liaison with professional advisers, service providers and stakeholders.
- Assist with lifestyle management, including personal appointments and reservations.
Diary & Calendar Management - Manage and maintain the Principal's complex diary, integrating professional, personal and household commitments.
- Produce forward planning documents, timetables and briefing schedules.
Coordination & Communication - Serve as the main point of contact for diary matters, working closely with the Director of the Office, other PAs, styling team, internal departments and external organisations.
- Collaborate with security, travel, press and operations teams to ensure seamless execution of engagements.
- Lead on coordination meetings and ensure team accountability.
Administration & Records - Maintain confidential records, databases and correspondence relating to the Principal's programme.
Travel & Logistics - Support the coordination of complex travel arrangements, working with security and operations teams to ensure discretion and smooth execution.
- Oversee logistics including accommodation, transfers, and related requirements.
About You - Proven experience as a Private Personal Assistant, or similar role supporting UHNW individuals.
- Exceptional organisational and time-management skills, with the ability to handle multiple priorities.
- Strong written and verbal communication, with discretion and professionalism at the core of your work.
- A proactive, resourceful and adaptable problem-solver.
- Comfortable liaising with a wide range of stakeholders and managing sensitive information.
