Executive Office Administrator
Central London
Salary: c. £90,000 - £110,000 depending on experience.
 
One of our private clients requires an experienced, highly organised Executive Office Administrator to support the smooth running of a private household and family office based in Central London, working five days per week in person.
This is a demanding, fast-paced environment suited to a candidate who thrives under pressure, adapts quickly to shifting priorities, and takes pride in flawless execution. Candidates should come from a strong corporate administrative background and have exposure to working with UHNW families, private households and/or family offices.  Candidates must be comfortable working within established protocols and to a high standard of discretion.
 
Key Responsibilities

  • Supporting the office with varied, fast-moving administrative projects, including online filing and database management
  • Sourcing and managing inventory of household items, products, and supplies across multiple properties
  • Researching and implementing digital tools, such as wardrobe cataloguing systems, in coordination with wider household and family office teams
  • Assisting with event support, including guest lists, seating plans, and coordination in the lead-up to and during events
  • Maintaining a large contacts database, ensuring accuracy of formatting, photographs, and current professional details
  • Coordinating gifting for birthdays, occasions, and larger seasonal gift programmes, including tracking and delivery
  • Researching training opportunities for the team, particularly around emerging technology and AI tools
  • Setting up and maintaining email filing systems and rules within Outlook
  • Preparing mail merges for invitations and distributions
  • Cross-checking calendars across multiple formats and time zones to ensure full consistency and accuracy
  • Designing and maintaining a live project dashboard to track ongoing workstreams
Candidate Profile
  • Expert-level proficiency in Microsoft Office, particularly Excel, Word, and Outlook.  Experience with, and interest in, AI tools and AI programming.
  • Fast, accurate note-taking with the ability to produce polished documents at speed
  • Exceptional attention to detail
  • Strong research skills with a resourceful, tenacious approach to problem-solving
  • Solid background in a dedicated administrative or assistant role, ideally within a high-pressure setting or family office environment
  • Professional, well-presented, and comfortable in a business dress environment
  • Calm, methodical, and highly discreet
  • A reliable self-starter capable of working with minimal supervision
