Senior Administrator / PA
Central London
Salary: c. £40,000 - £60,000 depending on experience.
One of our private clients requires a Senior Administrator / PA to join their established, fast-paced family office in Soho.
The Role
This is a varied and dynamic position covering all administration, diary coordination, document management, travel arrangements and bookings. Working within a structured and collaborative PA team, the successful candidate will support the wider family office and anticipate operational needs before they arise. Priorities can shift rapidly, so a proactive approach, a commercially minded outlook and genuine flexibility are essential. The role would suit a mid-career professional who thrives in a bustling environment and prefers working within a team rather than in isolation.
Key Responsibilities
- Managing complex and changing diaries, thinking ahead to anticipate the daily and weekly needs of the office
- Researching, coordinating and booking detailed door-to-door travel itineraries from scratch
- Working closely within the PA team, supporting junior administrators and covering for the Senior PA as required
- Processing invoices, expense claims and petty cash, and keeping accurate records
- Researching suppliers, services and products, preparing cost comparisons and presenting recommendations
- Purchasing gifts, arranging presentation and coordinating deliveries
- Booking restaurants, events, appointments and other personal or business requirements
- Assisting with administration relating to international properties and household matters
- Liaising professionally with suppliers, advisers and service providers
- Using initiative to resolve ad hoc issues with a no-task-too-small attitude
- Routine administration, document management and office organisation
Candidate Profile - A solid career history in PA support, with a clear track record of reliability, dedication and tenure
- Extensive experience in complex travel PA work, including building detailed itineraries from scratch
- Exceptional organisational skills, with a natural ability to think several steps ahead and meticulous attention to detail
- A highly collaborative mindset and a preference for working as part of a team
- Proactive and self-sufficient, with a hands-on approach to everyday administrative and office duties
- Strong critical thinking, common sense and commercial awareness of the balance between time, cost and quality
- Experience in budget management, cost control and efficient resource planning
- A track record of seeing tasks through to completion and making sure nothing falls through the cracks
- Resilient and composed under pressure, with the confidence to find solutions independently
- The highest levels of discretion and confidentiality
Hours & Location Full-time and fully office-based in Soho, five days per week, with flexibility to provide out-of-hours support when critical needs arise.
